Visitors

We may have as many visitors as there is the capacity for our office. However, they must remain inside the London Hub space or at one of our communal areas. They are not permitted to work from any open-plan desks within the Huckletree area.

You must book external visitors through the member dashboard before the visitor arrives. This expedites the check-in process at Reception and ensures we maintain Covid safety compliance.

The visitor booking process is as follows:

  • Pre-book the visitor via the Huckletree dashboard, entering their name, email address and time/date of their visit
  • Once complete, this triggers an email to the visitor confirming their visit.
  • The email provides the visitor with a unique code to use when checking in at Reception on the day.
  • The email also requires the visitor to accept Huckletree terms and conditions relating to covid safety.
  • On arrival, the visitor checks in via iPad at Reception, triggering an auto-email to the member advising them of the visitor arrival.

Location

White City Place is only a few minutes walk from White City tube station servicing the Central Line and Wood Lane tube station servicing the Hammersmith and City and Circle lines.

In addition, Latimer Road tube station, Shepherd’s Bush tube and overground stations and Shepherd’s Bush Market underground station are within a 10-15 minute walk.

Several bus routes stop nearby, including:

  • 272 Chiswick, Grove Park - East Acton - Shepherd's Bush
  • 283 East Acton - Hammersmith - Barnes Pond

Cleaning

London Hub

There is a daily on-site cleaner from 10 am to 4 pm. There is additional cleaning after 6 pm each evening.

Please be aware it is not the responsibility of our cleaners to remove cups or glasses from your desks, therefore please place your cup/glass in the dishwasher each evening.

Huckletree Shared Space 

There is a coloured flag system for cleaning areas where anyone uses a shared desk or sits within one of the breakout spaces. Pick up a flag from the relevant Reception team when you arrive in the space. Pop your flag in the area you are working from and leave it there when you are finished. The cleaners will clean and reset any desks that are unattended for two hours or more. Once a desk is clean and ready to use, they’ll remove the flag and return it to the Front of House.

Huckletree Meeting rooms 

Meeting rooms will be cleaned after each use. A sign will be visible, providing reassurance that the room is clean before you use it.
There will be 15-minute no-booking windows throughout the day to ensure the rooms can be cleaned and reset.

Waste

To reduce waste and increase recycling, we have segregated waste bins:

  • mixed recycling bins
  • general waste bins
  • glass bins

Dispose of large waste items in the general bin store in the basement. Flatten all boxes.

Confidential Waste
Restore Datashred provides confidential waste disposal for Colart. Locate confidential waste bags next to the stationary, and ensure you seal all bags. Contact HR to arrange collection.

Smoking

You are not permitted to smoke in any area of MediaWorks. Additionally, smoking directly outside the main reception entrance or at the fire escape doors is discouraged. We request that any smokers stand a minimum of 10 metres distance from the building entrances and use the smoking bins provided around the Estate. This policy includes the use of e-cigarettes and vapes, as these devices can still activate the building fire alarm and are considered anti-social to other occupiers.

Post Room

The post room is situated in the Westworks Building.

Incoming Post/ Couriers

  • All post received through the post room at Westworks Building opposite us is brought over to Reception at 4 pm every day.
  • Reception records the members' mail details via the Huckletree Members Dashboard.
  • This record triggers an auto-email message to an individual to collect from Reception.
  • If you need the post ASAP, you can collect it from the Westworks post room.
  • Reception will log incoming special delivery mail and couriered packages
  • Reception will email the individual to collect and sign the receipt.
  • Uncollected mail shall be placed in the departmental pigeon holes.
  • In the interests of Health & Safety, collect parcels from Reception on the day it is delivered. If you are unable to collect your parcel, please inform Reception.

Outgoing Post/ Couriers

  • Individuals will be responsible for their own outgoing post and expensed by department cost centre.
  • Royal Mail collections can be arranged via Elephant Space – please arrange this in advance.
  • The nearest post office is at Westfield Shopping Centre or click here to view other options.
  • Couriers will need to be managed and arranged by individuals directly.
  • Parcels can be left at Reception for the courier to collect.
  • Book large items for collection or delivery via Reception 24 hours in advance. This ensures that Reception can also book the loading bay.
  • Outgoing franked post must be placed in the Royal Mail bag in Reception no later than 2.30 pm daily in time for the daily Royal Mail collection.

Security and Access to the Building

In the interests of security and safety, you must have your Access Control Card on you at all times.

 

Security Services

Locate the Security Control Room for the White City Estate in the basement of the WestWorks building. A 24-7 manned guarding security service is in place.

Locate the MediaWorks Security Control Room on the ground floor of the building, adjacent to the North Core stairs.

Life safety and security systems are monitored from the Security Control Room.

Access to the Building

MediaWorks has a single main reception entrance. This main entrance is in operation 24-7. The reception desk is covered by a dedicated front of house team Monday to Friday 08:30 – 18:00 (excluding public holidays). The front of house team consists of two operatives, providing break cover for one another and working on a staggered shift system.

The main entrance doors are secured between the hours of 19:00 – 07:00. The entrance is still accessible either by occupier staff and visitors leaving the building, by pressing the door release button or by occupier staff entering the building with a valid security pass. An intercom is in place that connects to the security control room so the security operative can readily contact any individual who uses the intercom.

If you have forgotten your pass, please check in with Reception, who can issue a guest pass. Return the pass by 6 pm on the same day, or you will incur a charge. To avoid this, please keep your pass on you at all times.

Security cannot issue guest pass out of hours. Access for guests will need to be approved by security.
