Offboarding is the term used to describe the process of formally separating an employee from a company. It encompasses all necessary tasks and procedures related to the employee's departure. At Colart, we have a well-defined offboarding process that is of utmost importance. Our approach ensures that we can effectively manage the departure of the employee, mitigate potential risks, maintain productivity levels, and preserve institutional knowledge.
We maintain our care and commitment toward our people throughout the entire People Cycle, even when someone leaves the company. This continuity demonstrates our professionalism, fosters positive relationships, and upholds Colart's reputation as a responsible employer.
Offboarding procedures typically include the following:
- Knowledge transfer
- Documentation updates
- Reassignment of responsibilities
- Safeguarding sensitive information
The hiring manager holds the responsibility for ensuring the successful implementation of the offboarding process. The HR team can collaborate with the hiring manager to assist with some of the procedures.

Safeguarding Sensitive Information
Ensuring the security of our systems is crucial. Therefore, it is vital the hiring manager notifies their local IT Service Desk about the team member leaving. Splash will generate an automated email to IT, however we require the hiring manager to complete the Leavers Workflow as a verification step. On receipt of the request our IT Team will appropriately terminate their access to our systems and coordinate the return of Colart property including laptops and mobile phones.

The Leaver Announcement
All leavers are announced through an article in our weekly email newsletter, Colart News. The hiring manager should complete the leavers form, which can be accessed by clicking on the button below.
We recommend aligning with your HR team before requesting the leaver announcement, especially if the team member's departure triggers further changes.
The Exit Interview
Why do we conduct exit interviews at Colart?
Colart highly values its people and aims to retain them. However, acknowledging that there will inevitably be some people who choose to leave, it is crucial for us to make the most of this situation by conducting exit interviews. Exit interviews are conducted by an HR team member with all voluntary leavers.
What is an Exit Interview?
The purpose of an exit interview is to collect feedback and insights about their experiences, reasons for leaving, and suggestions for improvement. These interviews help organisations understand why employees leave and identify areas for improvement in company culture, management practices, job satisfaction, and retention strategies. The data gathered from exit interviews is used to make decisions that enhance employee engagement, reduce turnover, and improve the overall work environment.

Colart Alumni
Alumni refer to an individual who has previously worked for or been associated with an organisation and maintains a lasting relationship, providing valuable institutional knowledge, fostering loyalty, facilitating collaboration, offering industry expertise, and acting as a brand ambassador.
We currently do not have formal alumni at Colart; however, long-lasting relationships, connections and networks with past employees ensure that Colart has organic informal alumni. Loyalty and connectedness happen because of the deep connections, positive culture, and an environment that is a continued focus.
Plans to formalise alumni are being developed, with a proposed launch in 2024.
